About The Job
Job Summary:
The Executive Assistant is responsible for performing a wide range of administrative and office support activities to Executive Vice Presidents and other managers/departments to facilitate the efficient operation of the organization.
Duties/Responsibilities:
- Motivated, self-starter able to work with minimal direct supervision
- Schedule and coordinate internal and external meetings, appointments and travel arrangements
- Assist with negotiation of preferred rates for hotels, rental cars, and aviation providers
- Assist with planning and execution of functions related to presentations or conferences
- Assist with planning, coordination, and execution of client functions
- Compose and prepare complex correspondence, meeting materials (agendas, meeting notes, etc.), presentations, and reports with minimal supervision
- Perform general clerical duties including photocopying, scanning, and mailing
- Maintain and improve electronic and hard copy filing system
- Answer, screen and route phone calls
- Provide back-up for the Executive Assistants as needed
- Perform other administrative duties as required or directed
Required Skills/Abilities:
- Motivated, self-starter able to work with minimal direct supervision
- Knowledge of clerical and administrative procedures, business principles and practices, and standard office equipment
- Strong work ethic and highly collaborative team player
- High degree of professionalism and confidentiality
- Strong interpersonal (verbal and written) communication skills
- Decision-making, problem-solving, and analytical skills
- Proactive customer service skills (internal and external facing)
- Organizational, multi-tasking with a significant workload, and prioritizing skills
- Ability to anticipate needs and forecast for planning calendars, meetings, and business functions
Education and Experience:
- High school diploma or equivalent certificate
- Bilingual (Spanish) preferred
- 5+ years of related experience
- Proficient in Microsoft Office software, spreadsheets and budgeting
