Job Description 

We are seeking a capable and personable Front Office Assistant to join our team at the reception area. Your responsibilities will include answering incoming calls, scheduling appointments, and greeting visitors. You may also be tasked with ordering office supplies as needed.

To succeed in this role, you should have experience in office administration and be adept at communicating with the public. Ideal candidates will be excellent administrators who create a welcoming atmosphere for visitors arriving at the reception area.

Responsibilities

– Reporting to management and handling various administrative tasks.
– Answering, screening, and forwarding telephone calls.
– Scheduling and confirming appointments, meetings, and events.
– Greeting and assisting visitors in a courteous and professional manner.
– Managing basic inquiries and sorting incoming mail.
– Copying, scanning, and filing documents.
– Monitoring office supply levels and ordering replacements as needed.
– Maintaining a clean and organized reception area while adhering to professional standards.
– Performing additional administrative duties as required.

Requirements

– High school diploma or GED.
– Formal training or qualification in office administration, secretarial work, or a related field.
– 2-3 years of experience in a similar role.
– Exceptional ability to create a welcoming environment for visitors.
– Experience in answering and screening calls, and scheduling appointments.
– Professional demeanor and adherence to business etiquette.
– Proficiency with appointment scheduling and call forwarding systems, such as Resource Guru and AVOXI.
– Familiarity with word processing, spreadsheets, and email applications, including Microsoft Word, Excel, and Outlook Express.
– Knowledge of office equipment such as printers, copiers, scanners, and fax machines.
– Excellent interpersonal and communication skills.
